Recording a meeting's shares, social fund, and fines
Everything a VICOBA group does in a week comes down to one meeting register entry. Ustawi captures shares purchased, social-fund contributions and any fines as three distinct types in a single entry point — the same one every group officer uses week to week — so a meeting is recorded once, completely, rather than across separate tallies.
Three contribution types, one entry
Shares, social fund and fines are tracked separately because they mean different things at share-out. Shares are each member's savings stake in the fund; the social (welfare) fund is money the group sets aside for member support; fines are penalties collected for missed contributions or late attendance. Recording them distinctly is what lets the cycle-end share-out treat each correctly.
| Type | What it captures | Role at share-out |
|---|---|---|
| Shares | Each member's savings stake bought this meeting | Weights each member's proportional payout |
| Social fund | Welfare contributions set aside by the group | Typically held aside from the distributable fund |
| Fines | Penalties for missed contributions or lateness | Added to the fund the group distributes |
Logging the meeting
- 1Open the meeting entryStart the register entry for the session. Attendance and minutes are recorded per meeting alongside the contributions.
- 2Enter each member's shares and contributionsCapture shares purchased, social-fund contribution and any fine per member — the three types side by side in one entry.
- 3Post to the fund ledgerSaving the entry posts all three into the group's fund ledger for the cycle, so the running position updates immediately.
Where officers record meetings in the field, the mobile app captures the same entry and syncs it back — the meeting register is the single point regardless of where it was entered.
