End-of-day (EOD) cash reconciliation
An agent handling cash all day is a structural risk point for any lender without a same-day check. At close of day the Ustawi app reconciles the physical cash counted against the digital collection log — before the money is handed off to a supervisor or branch.
Why it is a control, not a report
A field officer collecting cash from dozens of borrowers is, structurally, a point of exposure — to honest error and to fraud alike. Without a same-day reconciliation, a shortfall might not surface for days, by which time it is far harder to trace. EOD reconciliation makes the check immediate and sits in the daily workflow as a gate before cash changes hands, which is exactly where a control belongs.
How the reconciliation reads
At day's end the agent enters the physical cash counted. The app shows three figures: Expected, from the day's collection log; Collected, the counted cash; and the Variance between them. A clean match enables handoff; a variance is flagged for review before handoff completes.
- Expected: 1,240,000 — from the day's collection log.
- Collected: 1,240,000 — the physical cash counted.
- Variance: 0 — the difference to be explained if non-zero.
If some of the day's collections have not finished syncing, the Expected figure cannot yet be trusted. The app treats a pending-sync state as blocking a clean reconciliation read — you reconcile against a complete log, not a partial one.
When there is a variance
The variance is flagged for review before handoff can complete. Variances above a set threshold are escalated to a supervisor first; the threshold and the reviewer are configured by the institution, so the escalation policy fits each lender's own controls.
